Why I built a tool for financial coaches

MoneyMapCoach started with a spreadsheet I was asked to fix. A coach in Ohio had built a workbook for one client, duplicated it for the next twenty three, and by the time she called me the file took forty seconds to open and one wrong paste could break a formula three tabs away. She did not want a better spreadsheet. She wanted to stop being the archivist of her own practice.

I spent that winter sitting in on check in calls, with client consent and names removed, listening to how the hour actually runs. Two things stood out. First, the coaching itself was already excellent: these are practitioners who have done the certification, who understand behavior far better than they understand software, and who do not need a vendor explaining their trade to them. Second, almost every minute of friction sat before and after the call, in reconstructing balances and in writing up what had been agreed. That is a records problem, and records problems are solvable.

The women being coached mattered to the design too. Someone at fifty two working out what a settlement means for the next twenty years does not want a colorful app with confetti when she pays a card down. She wants a table that looks like the statements she has been reading her whole adult life, a target with a date on it, and a way to see that the effort of the last eleven months went somewhere. So the product is deliberately quiet: ruled tables, tabular figures, a path of milestones that light up as they are met, and nothing that gamifies a serious decision.

What I learned about this trade

Financial coaching is not financial advice, and coaches are careful about that line in a way that shapes the software. MoneyMapCoach never generates a recommendation, never scores a client, and never touches securities or products. It holds the numbers the coach and client agreed on and it records what happened next. That restraint came out of the first six months of interviews, when three separate coaches told me the fastest way to lose their trust would be a tool that appeared to give advice in their name.

I also learned that pricing per client punishes exactly the wrong behavior. A coach who takes on a lower income client for a reduced fee should not pay her software more for it. That is why every plan carries unlimited client maps and the tiers only count coach logins.

The other lesson was about the middle of an engagement. Coaches told me repeatedly that months five and six are where six month packages quietly end, not because the coaching failed but because progress became invisible between sessions. The shared plan document exists for that stretch. It is the least clever feature in the product and the one that changes retention most.

How this product is built and maintained

MoneyMapCoach ships small changes weekly and larger ones when a real practice has asked for them twice. Every feature request is logged with the name of the coach who raised it, and nothing enters the roadmap on the strength of a hunch. Before a screen is built I ask to see the spreadsheet or the paper form it would replace, because the shape of that artifact usually tells me what the screen has to do.

Editorially, the standard on this site is that every number is one we can show you the working for. The practice count, the hours saved and the engagement length figures come from customer accounts that ran for at least two full quarters, and we recalculate them each quarter rather than letting a good number sit on the page for a year. Testimonials are published with the coach's full name, role, business and city, always with written permission, and never edited beyond trimming length.

On the operational side: client financial data is encrypted in transit and at rest, hosted in the United States, backed up daily with a thirty day retention window, and never sold or shared. The product does not connect to bank accounts by design, which removes an entire category of risk from your practice. Accessibility is checked on every release against keyboard navigation and contrast, because coaches share their screen with clients who are often reading small figures on a phone.

I am accountable for all of it: the accuracy of the copy on this site, the security posture, the reply you get when you write in, and the decision to say no when MoneyMapCoach is not right for how your practice works.
